- Reports to General Manager, Operations Manager
- Functions within the local WMPU office.
- To represent WMP Ukraine at the front door in good, professional manner.
- To answer incoming phone calls and redistribute within organisation.
- To receive and coordinate all office e-mail and regular mail.
- To meet visitors and seafarers at front desk and assist them.
- For the applied officers send reply for his PD agreement. Keep seafarer in the temporary folder.
- Act as per UA personal database law 2297-VI regarding agreements with seafarers.
- On receipt of DB agreement signed by seafarer move his CV from TEMP to general folder for processing.
- To carry out registration of new seafarers as well as updating existing. Assisting in filling applications and scanning/checking documents.
- To generate reports and collate statistics as required by the Operations Manager for trend identification of the crewing activities.
- To fill and keep up to date local database of seafarers and hardcopy file folders distribution.
- To liaise with Managers and assist in sourcing of required seafarers.
- In cooperation with Managers checking seafarers’ references and keep records.
- Keep records of seafarers’ computer and classroom testing schedule.
- Initiate request and maintain inventory level of office supplies for stocking.
- Safe keep administration and some company documents as assigned by the Management.
- Arrange hotel accommodations and airport/hotel transfer of visiting guests of WMPU.
- Ensure that crew area is well attended at all times.
- Administration Matters - oversee, in coordination with cleaning man/Office Maintenance, office cleanliness, minor office repairs and caring for flora.
- Safe keep administration and some company documents as assigned by the Management.
- The position will be measured against ability to deliver the above requirements.
- The position will be measured against the ability to further contribute for the improvements of the assigned task.
- The position will be measured in relation to Corporate values of the company.
- The position will be measured against the direct feedback received from seafarers, co-employees and leaders of the Company after due verification has been done.
