HR & Safeguarding Officer (only for nationals)

ROLE PURPOSE:

To provide a professional HR support to SCI operations in Ukraine and to support the HR & SG Coordinator in all HR related tasks including providing support for national recruitments, maintenance of employee databases, personal files, HR trackers and reporting on request, and other ad-hoc duties as required. Also proactively support the Safeguarding function embedded within our team, focusing on supporting and strengthening safeguarding at every stage within our operations, from ensuring safe programming to building our partners’ capacities.

KEY AREAS OF ACCOUNTABILITY:

• HR support
• Collects primary data (i.e. personal data, contracts/agreements, policies signed, certificates of trainings completion, etc), ensures its availability in personal files.
• Preparation of HR related agreements, documents, orders, letters, certificates in accordance with Ukrainian legislation.
• Supports HR/SG Coordinator in tracking timesheets completion.
• Maintains and regularly updates information on completed inductions for new staff.
• Communicates with IT team on staff e-mails accounts issues.
• Maintains HR related trackers (leave tracker, recruitment tracker etc.).
• Supports HR & SG Coordinator with data for submitting payroll payment documents to Finance department.
• Assists in updating the Performance Management system, and prepares reports as required.
• Provides support in all tasks related to day-to-day HR activities.
• To take part in recruitment and lead part of the positions in SAO.
• Supports HR Coordinator in preparing documentation for liaison with external parties on staff registration, taxation, insurances, learning & development, wellness, etc.
• Supports in organizing and conducting team-building activities, training for SAO staff.
• Supports HR Coordinator preparation of documentation associated with recruitment processes.
• Ensures timely and correct records updates in HR Oracle System.
• Support with administrative functions when needed.

SAFEGUARDING:

• Ensure that case information is kept confidential, documented and filed/stored appropriately
• Supports HR & Safeguarding Coordinator to identify, analyse and act to mitigate key safeguarding risks to children.
• Support SAO staff in preparation and dissemination of safeguarding information to children and families at programme sites implemented out of SAO.
• Support the delivery of Child Safeguarding training to team members and partners.
• Ensure key safeguarding risks are recorded as per SC Ukraine Safeguarding SoPs.

QUALIFICATIONS AND EXPERIENCE

Essential:

• High level of education desirable, preferably in International Relations, Sociology or Human Resources Management;
• Minimum 1 years’ experience in HR or data management related work;
• Knowledge of Ukrainian labour legislation ;
• Excellent interpersonal skills
• Strong communication (written and spoken), and interpersonal skills in English, with experience in working with multicultural teams and experience of internal comms and/or behaviour change campaigns.
• Good Computer skills working with MS Office Packages especially Word, Excel and Powerpoint and Outlook
• Excellent attention to detail, organisational skills and discretion with confidential information
• Proven ability to handle challenging work load

Desirable:

• Knowledge or experience in NGO;
• Knowledge of Oracle HR systems;
